COUNSELING

Introduction

The Counseling Cell at HITEC – Institute of Medical Sciences is established to support the academic, emotional, and behavioral well-being of students. Recognizing the challenges faced during professional education, the cell provides a structured and confidential platform for early identification and timely support of students experiencing difficulties.

The Counseling Cell works in close coordination with faculty, mentors, and administration to ensure that students receive appropriate guidance, fostering a supportive learning environment that promotes personal growth, resilience, and academic success.

Purpose of Counseling

This policy is designed to ensure timely and appropriate counseling support for students who may face academic, emotional, or behavioral challenges. By integrating counseling into the regular classroom and mentoring process as well as providing individual sessions to students when required, we aim to foster student well-being and academic success.

Scope of Counseling

  • This policy applies to all students, teachers, counselors or psychologists, and mentors within the institution and covers timely identification, referral, and counseling procedures.

1. Policy Guidelines:

1.1 Identification of Students in Need of Counseling:

  • Teachers and mentors are responsible for identifying students who may benefit from counseling based on:

    • Class performance (e.g., poor academic results, lack of participation).
    • Behavioral observations (e.g., frequent absences, changes in demeanor).
    • Personal interactions during class or mentoring sessions (e.g., students expressing stress, anxiety, or other emotional concerns).
    • Feedback from peers or guardians.

1.2 Referral Process:

Initial Discussion: Teachers or mentors should have an informal conversation with the students to understand their challenges and assess whether counseling is needed.

Referral: If the need for counseling is confirmed, the teacher or mentor will assist the student to fill out standardized appointment form detailing their observations and submit it to the institution’s counseling cell.

Other than teachers and mentors, students can make self-referral by accessing the appointment form through the link provided on website as well as on google classroom. In case psychiatric assistance is required, then the student will be referred to concerned department.

1.3 Counseling Procedure:

Initial Assessment: The institute counselor or clinical psychologist will conduct an initial assessment of the student with consent, reviewing the referral form and conducting a private counseling session.

Counseling Plan: Based on the assessment, the psychologist will develop a tailored plan, which may include individual sessions, group therapy, academic support, or external referrals to professional psychologists, if needed.

Follow-Up: Regular follow-up sessions will be conducted to track progress and make any necessary adjustments to the counseling plan. Progress will be communicated to the referring teacher or mentor, as well as the student’s guardians (where appropriate).

Referral to psychiatry department: Any critical issue beyond the scope of counseling and threat to institutional environment/reputation or to the mentee needs to be reported immediately to incharge mentoring program, who will then inform the Principal/Vice Principal. In case immediate psychiatric advice is needed, students will be referred on urgent basis to HIT psychiatry department. 

Termination and feedback: Before termination, feedback form will be filled out by the counselee and handed over to counseling cell for record keeping as well as to evaluate progress throughout the whole counseling process.

1.4 Confidentiality:

All information shared during counseling sessions will remain confidential, which will be ensured to the student by giving him or her informed consent. In case of risk of harm to the student or others, confidentiality can be breached. In such cases, the counselor will inform the appropriate authorities and the guardians.

2. Training and Support for Teachers and Mentors:

Teachers and mentors will receive regular training on:

  • Recognizing signs of emotional distress or behavioral issues in students.
  • Engaging in supportive conversations with students.
  • Referring students to counseling services.

3. Monitoring and Evaluation:

The counseling department will maintain records of referrals, counseling sessions, and outcomes. Periodic reviews of the counseling services will be conducted to ensure effectiveness, with feedback from students, teachers, and counselors.

4. Roles and Responsibilities:

Teachers/Mentors: Responsible for identifying students in need, making referrals, and providing ongoing academic and emotional support.

Counselors: Responsible for assessing students, providing counseling, and communicating with teachers/mentors about progress. As well as maintaining accurate and confidential records of student individual sessions, assessments, and treatment plans in compliance with legal and ethical standards.

School Administration: Ensures resources are available for effective counseling services and provide training for staff.

5. Policy Review:

This policy will be reviewed annually to ensure it meets the needs of students and aligns with the best practices in student welfare. This policy ensures a structured approach to supporting students’ well-being through counseling, ensuring that students receive the help they need when required.

The policy ensures timely and effective assistance to students but is not limited to, as it may inculcate staff, house officers, trainees as well as faculty who may require counseling and guidance at any stage.
