In today’s Era research work has gained an utmost importance. For an institute to flourish, it is important to engage the students in research work and make the research work interesting for them. It will empower them to; Develop passion for research; Think logically; Become self-sufficient learners; develop writing skills and develop the self-confidence in them.

Policy

Student Research MentorsThe research mentors (decided in ACM) will,

  1. Discuss and evaluate progress on the student’s research project every three months.
  2. Suggest relevant literature in the field to broaden the student’s knowledge base, a particularly important aspect of the student experience.
  3. Guide student creation of a professional poster and oral presentation.
  4. Establish a project schedule with the student, breaking the larger project into small, accomplishable steps for each project.

Project handling Committee: This committee will,

  1. Proof and approve the final written research report.
  2. Complete an evaluation, assessing the student’s strengths and weaknesses in the project context, evaluating mentoring experience with the student and making suggestions for academic improvement.
  3. The project handling committee will review the research papers written by students.

SOPs for Student Research Project Grants

The purpose of this policy is to motivate students at Dental College HITEC-IMS to engage in high-quality research by providing financial incentives and recognition. This policy aims to foster a culture of academic excellence and innovation, encouraging students to develop and complete meaningful research projects that contribute to their fields of study.

Grant Amounts:

  • For Best Proposal: Rs 50,000
  • For Second Best Proposal: Rs 30,000
  • For Third Best Proposal: Rs 10,000

Eligibility:

  • The research grants are open to all students enrolled in Dental College HITEC-IMS.
  • Grants will be awarded based on the quality of the research synopsis submitted by the students.
  • Only proposals that have received Institutional Review Board (IRB) approval will be considered for grant allocation

Timeline:

  • The grants will be allocated annually in March.
    • 1st-Year and 2nd Year Students: Research projects will begin in September of the 1st year and must be completed by October of the 2nd year.
    • 3rd-Year and Final-Year Students: Research projects will span the entire academic year, starting in January and concluding in December.

Application Process:

  • Students interested in applying for the research grants must submit a detailed research synopsis by the specified deadline.
  • Along with the synopsis, applicants must also submit:
  • A copy of the Institutional Review Board (IRB) approval for the proposed research.
  • A detailed financial budget outlining the financial requirements of the project.
  • Applications must be submitted in hard copy to the Research Office by mid-February.

Evaluation Criteria:

  • Research proposals will be assessed based on the following:
    • Clarity and Relevance: How well the research objectives and goals are defined and their importance.
    • Feasibility: The practicality of the research methods and timeline.
    • Innovation: The originality and potential impact of the research.
  • The members of research committee will review and score the submissions to determine the grant recipients.

Funding:

  • The funding for the research grants will be provided by Dental College HITEC-IMS from its allocated budget for academic research and development.

Implementation and Review:

  • This policy will be reviewed annually by the Research Committee to ensure its effectiveness and relevance.
  • Any changes to the policy will be communicated to all relevant stakeholders.

SOP for Student Participation in Conferences and Seminars

Purpose

To establish a structured approach for selecting and preparing students for participation in conferences, ensuring they represent HITEC Dental College professionally and effectively.

Scope

These SOPs apply to all students interested in participating in external conferences and Seminars.

Procedure

  1. Notification of Upcoming Conferences
    • Students may inform the Research Cell about relevant upcoming conferences by providing essential details, including:
      • Conference name, theme, and location
      • Date and registration deadlines
      • Relevance to dental education or research
    • All information should be submitted as early as possible for timely review.

 

  1. Student Selection Process
    • Students must submit a formal application to attend the seminar or conference at least one month prior to the event.
    • Applications should include:
  • Student’s name
  • Program and year of student
  • Purpose of attending
  • Any specific requirements (e.g., poster presentation)
    • The college administration, in consultation with the Research Cell, will select students to represent HITEC Dental College at the conference. Selection will be based on:
      • Academic standing
      • Involvement in research activities
      • Alignment with the conference topic and goals

 

  1. Appointment of Faculty Supervisor
    • A faculty supervisor will be appointed to oversee student preparation and participation in the conference.
    • The faculty supervisor’s responsibilities include:
  • Assist students in understanding conference expectations.
  • Prepare students for any poster or oral presentations, including review and feedback on poster designs or presentation materials.
  • Provide guidance on professional conduct and networking at the conference.

 

  1. Parental Consent
  • Selected students must submit a signed parental consent form at least one week prior to the conference
  • The consent form template will be provided by the college

 

  1. Transport and Poster Printing
  • The college will provide transportation to and from the seminar/conference venue.
  • Students are entitled to poster printing for up to three posters related to their presentations.
  • Poster designs must be submitted for printing at least one week before the event to allow for adequate processing time

 

  1. Prize Money Reward
  • Students who win prizes in poster competitions at the seminar or conference will be awarded prize money equivalent to the amount won.
  • The college will provide this prize money as a recognition of the student’s achievement and contribution to the field

 

  1. Post-Event Reporting
  • After attending the seminar or conference, students must submit a brief report summarizing their experience and key learnings.

 

Compliance

Adherence to these SOPs is essential for eligibility in future conference opportunities and financial support for participation.

Policy for Student Research Electives

Policy Statement

Dental College HITEC-IMS is committed to promoting a research culture among

undergraduate students. The college offers Student Research Elective opportunities to

enable students to gain practical exposure to research methodology, enhance critical

thinking, and develop skills in scientific writing and evidence-based practice.

Purpose

The purpose of the Student Research Elective is to provide structured opportunities for

undergraduate dental students to participate in supervised research activities as part of

their elective academic program.

Scope

This policy applies to all undergraduate dental students enrolled at Dental College

HITEC-IMS who participate in research elective activities under the supervision of faculty

and the coordination of the Research Cell.

Objectives

The objectives of the Student Research Elective are to:

  • Develop understanding of research methodology
  • Enhance skills in literature review and data analysis
  • Promote evidence-based clinical practice
  • Encourage academic and scientific inquiry
  • Improve presentation and scientific writing skills

Organisation and Structure

  • The Student Interest Group of Research Cell is responsible for organising and

coordinating the Student Research Elective Program.

  • Students opting for the research elective will be assigned a faculty supervisor.
  • Students will select a research topic relevant to oral and dental health.
  • All research involving human subjects will require approval from the Institutional

Review Board (IRB).

Duration

  • The duration of the research elective will be according to the elective schedule, as

approved by the college.

Supervision and Monitoring

  • Each student will work under the direct supervision of a faculty member.
  • The Research Cell will monitor progress and ensure proper conduct of research.
  • Students will maintain a record of their research work.

Assessment and Outcome

  • Upon completion of the research elective, the project will be submitted to the Project

Handling Committee, which will evaluate it against predefined criteria, including

scientific merit, methodology, presentation, and overall quality of work.

  • Statistical and academic guidance
